    Room to grow before it is needed

    The assessment asks about plans the business already has in mind: a leased unit expected to fill, a department likely to split in two, a location due to open next year. Building spare capacity into the keying platform now is far simpler than adding a level to a system that is already fully pinned, which can mean touching cylinders that were never meant to change.     Choosing a platform with room in it

    The keying platform and keyway are chosen to hold every level the design calls for, plus a margin for doors that are likely to join later. Each cylinder is then pinned chamber by chamber to the planned bittings, with bottom and master pins stacked together to create the shear lines every level needs to turn that one cylinder. Getting this stacking right is what prevents a common mistake: a change key that, through an overlooked shared pin, quietly opens more than the door or keyed-alike group it was meant for.

    Knowing exactly what a lost key affects

    If a key goes missing later, the chart tells the business precisely which doors that level can reach, rather than leaving anyone guessing whether the whole property needs attention. That scope can then be compared against how the key was likely lost and who else already holds that same level, so the response, whether rekeying one group, one door, or leaving it recorded and monitored, is a decision made with real information.

Let's clear a few things up

How is the key chart kept private?

The chart is handed to a named administrator rather than left as loose paperwork, and it is stored somewhere only that person can reach, separate from day-to-day office records. It is not published, circulated widely or kept alongside general building documents. When the administrator role changes hands, custody of the chart moves with a signed acknowledgement rather than being passed along informally.

Do all the doors on my property need to be part of the master system?

No. Some doors, such as a private office or a room with a single regular user, can reasonably stay on their own key outside the hierarchy if there is no real benefit to including them. The assessment is partly about deciding which doors belong in the system and which are simpler left alone, rather than assuming every lock has to join.

Who should hold the top-level master key?

As few people as the business can genuinely operate with. Every additional holder is another way a full-access key can be lost, borrowed or copied without anyone deciding that should happen. A useful test during design is asking, for each proposed holder, whether they need to open every single door on the property or only a defined group; the second answer usually points to a sub-master instead.
